Microsoft OneDrive: Beginner’s Guide for 2023

Getting Started with Microsoft OneDrive Correctly

Even though Microsoft OneDrive has been around for a while, many clients still aren’t taking full advantage of it. From seamless Microsoft 365 integration to managing permissions and sharing files globally, it’s a powerful tool when used correctly.

Harnessing OneDrive in the Cloud

OneDrive lives in the Office 365 cloud, so your data is accessible from anywhere via portal.office.com. Access it by clicking the 9-dot menu and selecting OneDrive—you can also reach all other Office apps from the portal.

When you first log in, you’ll see your personal OneDrive, which is essentially a SharePoint page dedicated to you. Files and folders are private by default, but you can share them with people inside or outside your organization.

The left-hand panel provides quick access to My Files, Recent, Shared, and Recycle Bin, while the customizable Quick Access section lets you pin important folders and SharePoint locations. Don’t forget the powerful Search function—it can find files anywhere you have access, not just in your own OneDrive.

OneDrive Cloud: Managing File Permissions

If a project is finished and someone no longer needs access to a file or folder, click the three dots next to it, select “Manage Access,” and then “Stop Sharing.” This immediately revokes access, even if they still have a link.

It’s a good practice to review your shared files periodically and update permissions to keep your data organized and secure.

New, Upload, Sync, and Automate

At the top of your OneDrive portal, you’ll find four main options:

  • New – Create a new folder or start a document in any Office 365 app, including Word, Excel, and PowerPoint, directly in your browser.
  • Upload – Upload files or folders from your computer to OneDrive, making them accessible from anywhere.
  • Sync – Install OneDrive on your local machine to keep files synchronized between your computer and the cloud.
  • Automate – Use Microsoft Power Automate to streamline repetitive tasks and save time on routine workflows.

Setting Up OneDrive on Your PC
After clicking the Sync button in your 365 portal, OneDrive installs on your local machine and runs continuously from the Windows taskbar.

The three main options—Open Folder, View Online, and Recycle Bin—are straightforward. Key settings to check:

  • Start OneDrive Automatically – Ensure this is checked in Settings (gear icon) so your files stay up to date.
  • Files On-Demand – Turn this on to maximize your cloud storage without using local disk space.
  • Account Tab – Customize which folders are syncing, especially for non-standard OneDrive locations.
  • Backup Tab – Manage backups to protect your data in case of loss or corruption.
  • Office Tab – Adjust collaboration and sync conflict settings; the defaults usually work best.

Following these settings ensures your OneDrive runs smoothly, keeps files updated, and makes collaboration easier.

Using OneDrive in File Explorer
Many people access OneDrive through File Explorer. Once installed, your OneDrive appears on the left side of any folder window, giving you quick access to all your cloud files.

This setup feels familiar—almost like organizing files on your old desktop, but with the added benefit of cloud convenience. The files you see in this view are essentially shortcuts to the cloud, not taking up local storage, but letting you open and manage your documents directly from your desktop. It’s a familiar, easy way to work with OneDrive while saving space.

You’re still accessing the same files you’d see in the 365 portal, but right from your desktop environment. This means you can drag, drop, rename, or move files just as you always have, all while keeping your local drive free from clutter. It’s an efficient way to bridge the gap between traditional desktop work and cloud-based collaboration.

Sharing and Recovering Files in OneDrive
Sharing files and folders in OneDrive is easy from your local machine or the portal. Right-click the item and select “Share” to generate a link you can send to anyone. This is handy for collaboration, such as sharing a blank folder for team contributions.

You can also recover previous versions of files. Right-click a file or folder, select “Version History,” and restore older versions if needed. This feature helps prevent accidental data loss and is a lifesaver for many users.
