5 Must-Know Features of Microsoft OneNote
Microsoft OneNote is one of the most underrated tools in the Microsoft 365 suite. With just a few tips, it can easily replace cluttered sticky notes or those random Word documents you’ve been using to jot things down.
Microsoft OneNote: Who’s Using It and Why?
Microsoft OneNote is a digital note-taking app included with Microsoft 365, giving you a central place to store all your information, accessible from any device with an internet connection. OneNote stores your notebooks in OneDrive, Microsoft’s cloud storage service, which means your notes are always synced and backed up in the cloud. Whether you’re on your computer, tablet, or mobile device, you can access your notebooks wherever you go—so the information you need is always at your fingertips.
I first discovered OneNote through a former boss. When I asked, “How do you keep track of everyone’s to-do list?” he showed me how he used OneNote to track notes historically and search through them easily—a far better system than my messy handwritten pads.
Since then, OneNote has become part of my daily workflow. Its notebooks keep everything organized, Office 365 integrations make sharing simple, and the Mac and mobile apps let me access my notes from any device.
5 OneNote Features
1. OneNote Notebooks
OneNote isn’t just a collection of random notes—it’s a fully organized digital notebook system. You can create notebooks for different purposes, like personal tasks, work meetings, or team projects.
Within each notebook, sections act like folders, and pages are like the papers inside them. You can organize by month, project, or topic—whatever works best for you.
Each page is a blank canvas: add multiple tabs, tables, images, or even hand-drawn notes. Unlike Word documents, OneNote gives you complete freedom to structure your information exactly how you need it. You’re not limited to just typed text—drop in screenshots, drag-and-drop images from your desktop, record audio right onto a page, or embed videos and helpful links. This flexibility makes it easy to collect meeting notes, brainstorm ideas, and capture research all in one place. By mixing text, visuals, and recordings, your notes become truly dynamic, helping you remember more and collaborate better.
Personalize Your Notebooks
Don’t underestimate the power of a little customization! OneNote lets you choose colors for your notebooks and sections, making it easy to visually separate work and personal projects or quickly spot the right notebook in a long list. Prefer a lined, gridded, or plain background? You can pick a page style that fits your note-taking vibe—think of it as digital stationery. This small touch not only makes your workspace more inviting but also helps you differentiate content at a glance.
2. Dictate Notes in OneNote: Turn Your Voice into Text
OneNote lets you convert speech into text instantly—no training required. Just click the microphone icon, allow mic access, and start speaking.
While it may occasionally miss punctuation or sentence structure, it’s perfect for meetings, interviews, or brainstorming sessions where typing everything isn’t practical. Later, you can quickly edit and polish your notes. A simple, time-saving tool for capturing ideas on the fly!
3. Save Time with OneNote Templates
OneNote templates help you hit the ground running. Whether you choose pre-built templates for business, academic, or blank notes, they provide a ready-made structure for meetings, project overviews, or interviews.
You can also create your own templates using the “Save as Template” feature—perfect for recurring tasks or meetings. Templates save time, keep your notes consistent, and let you focus on what matters instead of formatting.
4. Copy to OneNote
With Office 365 integration, you can add Excel, Word, and PowerPoint files directly into your OneNote pages—just drag and drop!
This is perfect for sharing notes with your team, eliminating the need for multiple email attachments. You can even import spreadsheets or documents directly into OneNote (instead of as attachments) by selecting “Import As”, letting the content appear right in your page. Everything stays organized and in one place.
5. Notebook Sharing
With OneNote, you can easily share notebooks with anyone in your organization via Teams or Outlook. Set permissions to allow editing or view-only access. Need to protect a specific section? Use the password protect feature to secure individual tabs while keeping the rest of the notebook accessible.
OneNote combines dictation, templates, file integration, and built-in security, making it a versatile tool for daily workflow management.
